Sponsor Licence System Management

Our sponsorship licence system management service ensures your business meets all Home Office reporting and compliance duties without hassle.

Since routine 4-year licence renewals were scrapped, there is no longer a scheduled checkpoint forcing a review of your compliance. Instead, the Home Office relies on unannounced audits with zero warning — leading to record-high licence revocations.

We manage your sponsor duties continuously, ensuring your SMS records and HR processes are always inspection-ready.

~3,100

Sponsor licences revoked in 2025 — the highest since records began in 2012

10 / 20

Working days to report worker / organisational changes via the SMS

£60,000

Maximum civil penalty per illegal worker found

--What's Included

Continuous management, not a one-off check.

A sponsor licence is an ongoing legal responsibility, as reaffirmed in the Home Office’s updated guidance published in August 2026. Through our dedicated sponsorship licence system management service, we protect your business against compliance breaches. Effective sponsorship licence system management ensures your SMS records, key personnel duties, and reporting logs remain inspection-ready at all times.

SMS reporting management

We track and file the changes that must be reported within 10 or 20 working days, so deadlines never get missed in the day-to-day of running your business.

Appendix D record-keeping

Records maintained and retained correctly — for the duration of sponsorship plus a further year, exactly as required.

Mock compliance audits

A full walkthrough that mirrors a genuine Home Office inspection, so weaknesses are found and fixed by us, not by an inspector.

Right-to-work check reviews

Digital checks and follow-up monitoring for time-limited permission, kept current and evidenced.

Key personnel support

Guidance for your Authorising Officer, Key Contact and Level 1 User, and prompt SMS updates whenever any of them change.

Guidance change alerts

When Home Office sponsor guidance updates — as it did in March and again in August 2026 — we tell you what's changed and what it means for you.

--Your Four Core Duties

What every sponsor has to get right.

Under UKVI rules, maintaining a valid licence requires strict adherence to four fundamental operational pillars. Our ongoing sponsorship licence system management keeps your internal processes compliant across every duty:

DUTY 1

Record-keeping

Appendix D sets out exactly what must be kept and for how long — for every sponsored worker, not just the ones currently active.

DUTY 2

Reporting

Defined changes reported via the SMS within strict deadlines — a worker not showing up, an absence of 10+ working days, a role or salary change.

DUTY 3

Monitoring

Ongoing tracking of each sponsored worker's immigration status, role, and salary throughout their employment.

DUTY 4

Wider legal compliance

Immigration law, employment law, and conduct expectations — including informing sponsored workers of their employment rights.

--What's At Stake

What a compliance gap actually costs.

A single oversight in your Sponsor Management System (SMS) can trigger severe Home Office penalties. Proactive sponsorship licence system management protects your business against the financial and operational risks outlined below:

ISSUE CONSEQUENCE
Missed reporting deadline or record-keeping gap B-rating downgrade + action plan
Action plan not completed or ignored Licence suspension
Serious or repeated non-compliance Licence revocation — sponsored workers lose status within 60 days
Employing a worker unlawfully Civil penalty up to £60,000 per worker
Licence revoked twice 24-month cooling-off before you can reapply
--Our Process

How we take this over.

01

Compliance audit

We review your current records, SMS activity, and HR processes against what the Home Office actually expects to see.

02

Gaps fixed

Any weaknesses found are corrected before they become a problem at a real inspection.

03

Systems set up

Reporting calendars and record-keeping processes put in place, built around your business.

04

Ongoing management

We continue managing reporting, records and updates for as long as you need us.

--Questions

Frequently asked.

FREQUENTLY ASKED QUESTION ANSWER & DETAILS
What Key Personnel roles are required on the Sponsor Management System (SMS)? Your organization must assign four key roles on the SMS: the Authorising Officer (a senior officer responsible for compliance), the Key Contact (main liaison with the Home Office), and at least one Level 1 User (handles daily system operations). You may also assign Level 2 Users with restricted access.
How do we request and assign Certificates of Sponsorship (CoS)? You must request an annual CoS allocation via the SMS. Once approved, you assign a Defined CoS for out-of-country Skilled Worker applicants or an Undefined CoS for in-country switchers and extensions. Each CoS must accurately reflect job duties, SOC codes, and minimum salary thresholds.
What changes in business circumstances must be reported on the SMS? Under Home Office compliance rules, you must report key business changes within 20 working days. This includes changes to company name, address, key personnel, ownership structure, mergers, acquisitions, or insolvency.
What are a sponsor's reporting duties regarding sponsored workers? You must report specific worker events on the SMS within 10 working days. This includes unauthorized absences of more than 10 consecutive working days, delayed start dates, resignations, terminations, or significant changes to employment conditions (such as salary adjustments or job promotions).
How long does a UK Sponsor Licence remain valid, and how is it renewed? Sponsor Licences remain valid indefinitely unless surrendered or revoked, but you must actively maintain compliance. SMS access, key personnel details, and annual CoS allocations must be reviewed and renewed through the SMS platform regularly to maintain an A-rating.
What happens if we fail to meet SMS reporting and compliance duties? Failure to maintain SMS records or report mandatory changes can lead to Home Office compliance audits, downgrade to a B-rating, suspension, or full revocation of your Sponsor Licence, which impacts all currently sponsored workers.
